In this essential role, you will oversee our third-party facilities management suppliers, focusing on analysing financial data, evaluating key performance indicators, and managing contracts. Your skills will be vital in enhancing the effectiveness of our commercial agreements, ensuring they achieve optimal results and align with our operational goals. The day to day –

  • Engage actively with external vendors to ensure they deliver facilities management services in line with the agreed contractual conditions, service level expectations, and performance metrics.
  • Conduct thorough assessments of vendor performance, ensuring they meet or exceed the set KPIs and SLAs, and take necessary measures to maintain high standards of service.
  • Manage the entire contract lifecycle, from validating Change Control Notices to handling contract renewals and modifications, while keeping a detailed record of all related documentation.
  • Issue purchase orders for various real estate and facilities management services, overseeing the entire order process to ensure accuracy and control.
  • Perform meticulous invoice audits against service delivery and contractual agreements and oversee the financial tracking of invoices in relation to purchase orders.
  • Propose adjustments to service scopes to the real estate and facilities management team, securing approval for any changes.
  • Aid in the contract renewal process by evaluating service scopes to confirm that service levels are upheld, value is continuously delivered, and objectives are met. Assist with planning for a smooth transition of services between contracts.
  • Participate in the development of the annual budget, providing support throughout the process.

About you –

  • Proficient in the intricacies of contract formulation, oversight, and strategic negotiation methods.
  • Skilled in cultivating and maintaining productive partnerships with external vendors and service entities.
  • Informed on the specifics of contracts within the realm of facilities management.
  • Competent in tracking and assessing vendor service delivery in line with established KPIs and SLAs.
  • Adept in articulating complex concepts clearly and concisely to a variety of audiences, both in writing and verbally.
  • Meticulous in dissecting and scrutinizing detailed contractual documents, financial statements, and performance data.
  • Efficient in organising tasks, adhering to timelines, and juggling various initiatives concurrently.
  • Ideally a bachelor’s degree in business administration, Contract Management, Facilities Management, or a similar discipline; preference for candidates with postgraduate qualifications.
  • Well-versed in the regulations, standards, and recommended practices governing UK facilities management.
  • Possesses industry-recognized credentials such as CIPS or CMILT.
