Job Description

  • Masterfully organize and maintain our calendar system, ensuring our team stays on track and never misses a beat
  • Coordinate and schedule meetings that bring together key players, keeping our operations smooth and efficient
  • Become the guardian of task completion, following up on pending items and managing workflows to ensure nothing falls through the cracks
  • Answer incoming calls during business hours with a warm, professional demeanor that reflects our commitment to exceptional service
  • Guide callers through our service offerings with expert knowledge, connecting them to the right resources and information
  • Collaborate with team members using cutting-edge tools like WhatsApp, fostering a culture of seamless communication
  • Play a key role in maintaining and refining our operational documents and standard operating procedures, ensuring we’re always at the top of our game
  • Provide assistance as needed with marketing efforts to update company websites with blogs and content

Requirements

  • Proven track record as a Virtual Administrative Assistant or in a similar role where you’ve showcased your ability to juggle multiple tasks with grace
  • General marketing know-how in terms of posting content and writing blogs
  • Stellar verbal and written communication skills in English that would make Shakespeare proud
  • Tech-savvy professional with a knack for CRM systems, particularly HubSpot or Jobber
  • Experience with VoIP systems like Open Phone, demonstrating your ability to navigate modern communication tools
  • Google Workspace wizard, particularly adept at Google Docs and Google Sheets
  • Eagle-eyed attention to detail paired with organizational skills that would impress Marie Kondo
  • Adaptability that allows you to embrace new software and systems with enthusiasm
