Repair and Alterations Manager

As a Repair and Alterations Manager, your primary responsibility is to oversee the repair, renovation, and alteration projects for a commercial real estate portfolio. You will coordinate with various stakeholders, including property managers, landlords, tenants, contractors, and vendors to ensure that projects are completed on time, within budget, and meet quality standards.

Principal Responsibilities:

  • Ensure compliance with portfolio wide initiatives, local, state, and federal laws, and governing regulations that pertain to the operating of facilities on behalf of the client as owner.
  • Provide monthly reporting appropriate for the client, track SLA variances and ensure smooth recovery process within established targets.
  • Leveraging organization skills, problem solving and creative thinking to resolve escalations, drive continuous process improvement and team development in a dynamic environment.
  • Serve as the single point of contact for regional service delivery, understanding clients’ key business drivers and requirements for our services.
  • Oversees multiple properties, coordinating 3rd party vendor services, day-to-day tracking of work order completion, validating invoices and meeting KPI standards.
  • Manage the staffing, development, performance, and outcomes of assigned team reporting to the position.
  • Ensures performance reviews and other HR procedures and duties for line staff are conducted according to policy, i.e. submission of compensation (base salary, bonus, merit increases, promotions) for review and approval.
  • Ensures services are in place to safely respond to emergencies affecting facilities operations.  Flexibility in work hours, as needed to address critical needs.
  • Coordinate bi-weekly discussions with each major vendor or supplier regarding goal setting, performance criteria, and performance review.
  • Collaborate with account sourcing team on national and regional sourcing opportunities to define scope and manage national and regional supplier performance at the property level.
  • Oversee service delivery to provide integrated facility management. Foster open communication, cooperation, and alignment on client goals to maximize resources and support client objectives. This includes holding regular meetings to ensure transparent communication, identifying, and addressing potential service delivery issues, resolving problems, and managing overall performance.
  • Accountable for the accuracy and timely updates to all systems data utilized for the account process, procedures and metrics supporting IFM.
  • Proactively manage all facility services and communication in accordance with account and client standard processes, procedures, and KPIs to ensure superior customer satisfaction and performance levels.
  • Coordinate work requests from issuance to completion and invoicing.
  • Communicate daily with Client and all required parties to ensure work is completed in a timely manner.
  • Vendor management skills are required to ensure all vendors are delivering to the service levels expected and contracted to.
  • Support bi-weekly sourcing reviews and assist in onboarding new vendors.
  • Aggressively manage timelines required for critical path deliverable dates.
  • Manage, coordinate, and have functional responsibility for Facility Management services within assigned facilities and geography.
  • Prepare Pre-funding/project funding allocation forms.

Required Knowledge, Skills and Abilities:

  • Superior client relationship management skills.
  • Experience with managing multiple vendors and small capital projects.
  • Excellent time management skills to meet contractual deadlines and simultaneously handle and prioritize multiple projects, tasks, and requests.
  • Knowledge of facilities building systems, operation/maintenance/performance.
  • Advanced computer skills with emphasis on Excel and possess the ability to analyze data.
  • Strong organizational, management, and supervisory skills.
  • Experience in matrix management organization desirable.
  • Working knowledge of facility systems such as HVAC, Fire Systems, BMS, Water Treatment, Plumbing, Electrical.
  • Demonstrated ability to develop successful relationships with and influence customers, both internal and external.

Essential Skills and Experience:

  • Minimum of 5 years of experience in facility management or related field
  • Bachelor’s degree in Facilities Management, Engineering, or a related field (equivalent experience will be considered)
  • Strong oral, written, and presentation communication skills.
  • Strong understanding of facility operations, building systems, and equipment maintenance.
  • Associate / Technical degree or equivalent combination of HVAC education and or experience (preferred).
  • Advance computer skills (Word, Excel, PowerPoint), and Familiarity with Computerized Maintenance Management Systems (CMMS), Corrigo CMMS knowledge is a plus.
  • Proven experience in managing and leading a team of facility management professionals.
  • Ability to multitask and prioritize work in a fast-paced environment.

99,000.00 – 110,000.00 USD per year
