The Sourcing Manager is the main point of client and supplier contact from Meeting Request through proposal to contracting and payment. Key areas of role include venue and destination knowledge, contract negotiation and budget management.
What you’ll be doing:
- Review meeting request and conduct meeting qualification call with client
- Identify appropriate venues according to client/event needs
- Understand and utilize preferred suppliers programme
- Advise and guide the client about suitable options
- Inform about rejected venues (quality, availability…)
- Maintain contact with suppliers and manage option dates
- Reminders to client on deadlines
- Budget management of project
- Secure meeting owner approval on budget and terms & conditions of supplies
- Negotiate supplier rates and conditions
- Ensure per project profitability through commission and fees
- Coordinate Inspection trip if needed and assistance if required
- Secure required data according to customer policies (POs…)
- Confirm/Cancel venues to suppliers
- Update Meetings & Events Finance and Project Management systems with all project information
- Provide feedback to suppliers on cancelled venues
What we need from you:
- Experience in hotel buying preferred
- Proven negotiation skills
- Knowledge of UK and global destinations required
- Domestic and international venue/hotel knowledge is a benefit
- Online sourcing tool experience ie Cvent, Lanyon
- Operations experience in hospitality industry or equivalent is a benefit
- Prior successful experience in developing and maintaining key client and supplier relationships
- Prior experience in effectively handle multiple projects/demands
- Strong knowledge of program/event management and budget maintenance
- Proven aptitude for technology and/or software solutions and analytical skills required.
- Ability to travel by airplane, boat, rail and/or car.
