The role
We are searching for an organized and reliable Office Assistant to join our Workplace Team in London. The ideal candidate will be experienced in handling a wide range of operational and office support related tasks.
The role will report to: Workplace Team Manager
What you will do
- Act as the main point of contact for all office management concerns, employee inquiries, and suggestions, effectively liaising with the community team of the building, and suppliers to ensure a smooth workflow.
- Oversee all office, facility, and building management tasks for the London office, including maintenance, cleaning, security, and emergency drills in relation with the Workplace Manager.
- Provide a welcoming environment for employees by ensuring a friendly experience.
- Develop, communicate, and include office regulations and procedures, manage the office budget with the help of the Workplace Manager, and lead sustainability initiatives to reduce the organization’s environmental footprint.
- Work closely with the IT teams to address technological needs, troubleshoot issues and manage software and hardware needs in terms of shipments. Coordinate the onboarding and offboarding process for new employees or leavers, including equipment provisioning, and orientation.
- Oversee and maintain office supplies, furniture and equipment.
- Act as a point of contact for Sports & Social activities.
- Take responsibility for Health and Safety procedures and support on site with the help of the workplace manager.
- Support Teams in organizing all kinds of events (workshops, company-wide events and other office-based celebrations).
Essential skills
- A proven track record of Office Management, Secretarial or Administrative Experience.
- Excellent organizational and multitasking abilities.
- Attention to detail.
- Strong communication and interpersonal skills.
- Fluent English.
- Proficiency with office applications.
- Ability to maintain confidentiality of company information.
- First aid certificate would be a plus.
