Talent Team Administrator – Full-time

The focus of this role is to assist in the administration of the day-to-day operations of the Talent Department for BELAY, oversee all contractor content development, and serve as administrative support to the Director of Talent. As a member of the BELAY Corporate Team, you are expected to participate in phone calls and meetings (virtual and onsite), while serving as an example of the company’s mission: BELAY exists to glorify God by providing solutions that equip our clients with the confidence to climb higher.
Duties and responsibilities
Represent BELAY in a positive and professional manner

Director Support <estimated 50%>
- Anticipate the needs of the director and conserve their time by proactively assisting with task management, review, and drafting of correspondence, research, professional & personal development opportunities, meeting preparations, presentations, etc.
- Manage complex calendaring and appointment setting including vetting and prioritizing with the understanding that time working on the business is crucial while keeping ideal calendar and preferences at play and providing recommendations for both professional and personal priorities.
- Ensure all details are accounted for in advance such as appropriate time zones, addresses, contact information, notes, and agendas, and ensure all meetings are confirmed.
- Plan for appropriate preparation time before and between meetings and events.
- Coordinate travel, as needed.
- Manage email inbox and draft internal and external communications while maintaining privacy and confidentiality.
- File weekly expense reports and track reimbursement status.
- Perform any ad-hoc professional or personal tasks or projects.
- Provide ad hoc administrative support to the director’s direct reports as needed and instructed.
Team Support <estimated 35%>
- Own communication correspondence with applicants through inbox and applicant tracking system via text and email responses.
- Respond to all inquiries both internally and externally including but not limited to forwarded messages (voicemail and email) to BELAY Info, and/or other departments with general questions about the application, interview process, placement process, or other frequently asked questions for Talent Department.
- Send out Talent Meeting agendas and meeting recaps.
- Plan in-person team meetings occurring 1-2 times per year..
- Support ticket management as it relates to contractor general support.
Contractor Content & Community Support <estimated 15%>
- Assist with support and engagement within the LinkedIn Contractor connection page
- Assisting with coordination and light content creation for community posts, resources, webinars, or events as needed.
Operational Responsibilities
- Assist with the completion of department projects and initiatives utilizing Asana.
- Run Background Checks on behalf of clients at the request of the Client Relations Department.
- Monthly Payout for Contractor Referral Program.
- Frugal Wow ownership for both contractors and Talent team.
Qualifications
- BA/BS degree or equivalent work experience.
- Must be a driven self-starter, a positive thinker, loyal, and trustworthy.
- Attributes of flexibility, creativity, self-discipline, strong organizational skills, and action orientation are essential for this role.
- Strong verbal and written communication skills.
- Team player who is willing and able to “roll up the shirt sleeves” to get a project done when needed.
- A high degree of autonomy with the capability of working remotely.
- Prior administrative experience.
- Demonstrated experience with content and graphic creation.
- Proficiency in managing LinkedIn (LI) accounts and leveraging the platform for strategic networking and brand promotion.
Working conditions
BELAY Corporate, as a virtual company, offers you the ability to work from home full-time. As such, a dedicated
and secure workspace, free of distractions is required. Our standard business hours are Monday-Friday. Some roles will require travel.
